Cliniq One is software that helps aesthetics clinics respond to enquiries and track them through to appointments. It is provided by Cliniq Media, a sole proprietorship of Karanveer Monga, Zirakpur, Punjab 140603, India (“Cliniq Media”), and built and run by Sahai Labs Private Limited (“Sahai Labs”).
Who is responsible for your data
If you contacted a clinic that uses Cliniq One, that clinic is the controller of your information and decides how it is used. Cliniq Media processes it on the clinic's behalf, and Sahai Labs runs the software as Cliniq Media's sub-processor. For questions about your enquiry or your treatment, contact the clinic directly.
What we process
- Your name and contact details (phone, email, Instagram username) as given to the clinic.
- Messages you send to the clinic's Instagram or Facebook page, and the clinic's replies.
- Enquiry details: the treatment you asked about, the clinic's notes, follow-up dates and booking status.
- Booking details the clinic's booking system emails to the clinic (service, date and time, price).
- Which advert you responded to, where Meta provides it.
We do not process medical records or clinical notes.
Why
To help the clinic reply to you promptly, follow up as agreed, and understand which of its adverts lead to appointments. Our assistant, Emma, reads incoming enquiries to summarise what you're asking about and anything the practitioner should handle personally, and suggests replies written in the clinic's own style, which she learns from the clinic's previous replies. A person at the clinic always reviews and sends every reply. Nothing is sent to you automatically. Your information is not sold, and it is not used to advertise to you.
Where it is stored and who helps us
- Supabase (database and sign-in), hosted in the EU/UK.
- Vercel (application hosting).
- Anthropic (reading enquiries and drafting reply suggestions). Its terms don't allow it to use this data to train its models.
- Meta Platforms (Instagram and Facebook messaging, advert reporting).
- Resend (sign-in emails to clinic staff).
- Cloudflare (domain and email routing, including forwarded booking confirmations where a clinic enables them).
Support staff at Cliniq Media and Sahai Labs are based in India. They see aggregate figures by default and access personal information only to resolve a support request from the clinic, under contractual safeguards for international transfers.
How long we keep it
For as long as the clinic uses Cliniq One for its enquiries, and no longer than 90 days after the clinic stops, unless the clinic asks us to delete it sooner. Copies of booking emails are deleted after 30 days.
Deleting your data
You can ask for your information to be deleted at any time. Contact the clinic you messaged, or email privacy@cliniqmedia.com with the clinic's name and the name, phone number or Instagram username you used. We will confirm once it has been deleted, normally within 30 days. This also covers information received through Instagram or Facebook.
Your rights
Under UK data protection law you can ask to access, correct or delete your information, or object to how it is used. Contact the clinic or privacy@cliniqmedia.com. You can also complain to the Information Commissioner's Office (ico.org.uk).
